Where off-the-shelf works well

For common needs — accounting, email, basic project tracking — ready-made tools are cheaper to start and proven. If your process is standard, adopt the standard tool.

Where custom software wins

Custom software pays off when your process is your competitive advantage or too specific to force into a generic tool:

  • Your workflow has unusual steps (installation, AMC, production stages)
  • You are paying growing per-user licence fees
  • You need to integrate many systems, devices or WhatsApp/email flows
  • You want data ownership and the option to self-host

Cost over three years

Off-the-shelf looks cheaper in year one, but licences, add-ons and workaround labour accumulate. Custom has a higher upfront cost and then mostly maintenance. Compare total three-year cost, not first-month cost.

A simple decision checklist

Choose custom if you answer yes to at least three: our process is unusual; we need integrations; user count will grow; we need our own data control; we want a mobile app for field teams.
